The Charles Koch Foundation (CKF) seeks an executive assistant to support senior management and staff in a non-profit office environment. The role will provide primary administrative support to the Foundation’s President. 

Essential Duties and Responsibilities:


Responsible for calendar management and allocating appointment times for both internal and external meetings
External communication with high level professionals
Prepare agendas and preparatory materials in advance of meetings/appointments 
Compose email and other correspondence for executive
Drive executive level relationship management 
Act as project manager for special projects which may include: planning and coordinating presentations, disseminating information, and ensuring progress on delegated tasks 
Process invoice payments and preparation of purchasing card reconciliation
Record minutes when necessary Schedule and coordinate travel arrangements 
Improve data storage and retrieval systems; track and record relevant information
Perform and assist with administrative duties, including greeting guests and prompting executive in and out of meetings 
Improve administrative processes and increase efficiency 

Qualifications: 


Minimum 3 years’ experience in an administrative support capacity supporting senior level leadership 
High level of initiative Ability to multi-task and meet deadlines with a high sense of urgency 
Strong customer focus mentality Ability to work with confidential and sensitive information 
Adaptable to changing circumstances 
Strong organizational skills and attention to detail 
Results driven 
Ability to work independently and as part of a group 
Strong computer skills, especially with Word, Excel, and Outlook 
SharePoint and Salesforce experience a plus 
Excellent oral and written communication skills 
Ability to work with confidential and sensitive information 
Excitement for advancing the ideas of a free society 
Associate’s or Bachelor’s degree preferred
